The privacy of your information is very important to Keystone Consulting, Inc., and we are committed to being transparent about how we collect and use this information. This Privacy Policy aims to describe the types of information we may collect through our website, information voluntarily supplied by you when you apply for a job with Keystone Consulting, Inc. through our website, and how we may use your information.

In this Privacy Policy (Policy), Keystone Consulting, Inc. may be referred to as “Keystone,” “we,” “us,” or “our.” References to “website” are referring to the URL https://kci-madison.com as well as any subdomains of the kci-madison.com primary domain, including those that belong to our Applicant Tracking System (ATS) provider.

This Policy may change. Please note the “Last Updated” date above. Any changes to this Policy take effect as soon as they are posted. By using, or continuing to use, the website and our services, you will have accepted this Privacy Policy and the related Cookie Policy.

Information We Collect

When you voluntarily provide personal information and/or your resume to us by applying for a specific job opening, or request that we seek out opportunities on your behalf by contacting us, we create a record for you in our ATS database. In general, we ask for your name, email address, phone number, your resume, work experience, education, and skill set. We do not request sensitive data via this website. If sensitive data is requested, it will be via other means and will include a  separate consent. 

Your email and/or phone number will be used to contact you when necessary, and only in relation to our employment services. We may, at times, send emails containing employment information, or to share information about a job opportunity to which you did not specifically apply. We may also email you to request an update of the information we have currently available in our ATS database to enable us to better serve you. 

Should you wish to add other information to your ATS record, such as the acquisition of additional skills, certifications, and experience, you may request to have your ATS record updated by sending an email to hiring@kcimail.com.

Regardless of how your personal information is collected, we will use this information for recruiting purposes only. We need to collect this information to deliver our services and, unless you provide sufficient personal information, we may not be able to assist you with your employment needs. We will never sell your personal information. It will be shared internally with our recruiting staff for the purposes of providing you with our services. We will never submit your resume to a job opening without your knowledge and permission though separate consent. 

We also, at times, may obtain information from public social media accounts or through social media accounts you make available to us. The amount of personal information we collect and add to your ATS record will typically be limited to what is necessary to provide you with the services you have requested. Your information is collected in a lawful manner using publicly accessible means. 

Additionally, we may obtain your information by actions you take when applying through other career sites such as Indeed.com, Google.com, ZipRecruiter and the like. By applying through these sites, you are consenting to the terms and privacy policies of those sites and you are making your information available for use by Keystone.

In addition to using or disclosing information where necessary and appropriate in connection with the provision of staffing services, we may use, disclose and/or transfer this information as follows: (a) to companies and individuals we employ to perform business functions and services on our behalf such as web server hosting companies, data analysts and providers of legal, accounting and/or marketing services; (b) to government agencies, advisors and other third parties, where necessary and appropriate, in order to comply with applicable laws, the service of legal process, or if we reasonably believe that such action is necessary to (i) comply with the law requiring such disclosure, (ii) protect Keystone Consulting, Inc.’s rights or property, (iii) prevent a crime or protect national security or (iv) protect the personal safety of the users or the public; or (c) in connection with a sale, acquisition or merger of our business or our business assets.

Your ATS record with Keystone remains active for a period of two years from the date of creation. At the end of this period we may contact you to obtain permission to persist this information for an additional two-year term. You may also request that we delete your entire ATS record at any time.

Third Parties

This Privacy Policy does not apply to third parties. We use an Applicant Tracking System (ATS) from a third party (zohorecruit.com) for external collection and internal management of your personal contact information and work history that you voluntarily provide to us. We urge you to review the respective privacy and security policies of any third party we utilize in the performance of our services. It may include their practices and instructions about how to opt-out of certain options as well as the location of their servers. 

California Consumer Privacy Act of 2018 (CCPA)

Under the CCPA, along with other rights, California consumers have the right to:

  • Request that a business that collects a consumer’s personal data disclose the categories and specific pieces of personal data that a business has collected about consumers.
  • Request that a business delete any personal data about the consumer that a business has collected.
  • Request that a business that sells a consumer’s personal data, not sell the consumer’s personal data.

To ensure you are fully aware of all your data protection rights, every user of our services is entitled to the following:

  • The right to access – You have the right to request copies of your personal data. We may charge you a small fee for this service.
  • The right to rectification – You have the right to request that we correct any information you believe is inaccurate. You also have the right to request that we complete the information you believe is incomplete.
  • The right to erasure – You have the right to request that we erase your personal data, under certain conditions.
  • The right to restrict processing – You have the right to request that we restrict the processing of your personal data, under certain conditions.
  • The right to object to processing – You have the right to object to our processing of your personal data, under certain conditions.
  • The right to data portability – You have the right to request that we transfer the data that we have collected to another organization, or directly to you, under certain conditions.

Information from Children

Keystone Consulting, Inc. does not knowingly seek out nor collect any information from children, in particular those under the age of 13. If you have knowledge that a child under the age of 13 provided this kind of information through our website, we strongly encourage you to contact us immediately and we will promptly remove such information from our records.
